Appointment & Pipeline Management

This system synchronizes appointment events with GoHighLevel CRM opportunities, status tags, and internal notifications. It manages the CRM lifecycle associated with a discovery call—not AI appointment setting.

01 / Project Overview

Appointment events and sales-pipeline records stay aligned.

When a discovery call is booked, cancelled, or marked as a no-show, the workflow routes the appointment event, moves the opportunity to the appropriate CRM stage, applies or removes status tags, and alerts the owner. Rescheduling remains a GoHighLevel Calendar responsibility: the appointment stays active, its time updates, and the Appointment Booked state remains valid.

Event

Discovery Call Booked, Cancelled, No Show, or no matching status.

Pipeline

Qualified → Appointment Booked → Qualified on cancellation or no show. Opportunities remain Open.

Output

Documented tag cleanup and an assigned-owner notification for every matching appointment event.

The Challenge

Appointments can leave the CRM out of sync with reality.

Without an event-driven appointment workflow, booked calls can retain old lead-status tags, cancellations can look like active meetings, and no-shows can disappear without an owner seeing them. Manual pipeline changes make it easy for the sales team to lose the context needed for the next action.

The Solution

A clear route for every appointment outcome.

GoHighLevel receives an appointment status, routes it by Booked, Cancelled, No Show, or no matching status, then updates the opportunity, tags, and owner notification. Calendar-facing actions remain with the booking system while the workflow maintains internal CRM state.

03 / Workflow Architecture

Appointment events, synchronized with the pipeline.

The workflow responds to documented appointment events, updates the corresponding CRM opportunity, maintains appointment-status tags, and notifies the assigned sales owner.

GoHighLevel Workflow Architecture

Booked, cancelled, and no-show events route to the appropriate pipeline state, status tags, and owner notification.

Architecture Details

Each appointment status has a deliberate CRM outcome.

Booked: Move the opportunity to Appointment Booked, apply the booked status, clean up previous lead-status tags, and notify the assigned owner.

Cancelled: Move the opportunity back to Qualified, apply the cancelled status, remove the booked status, and keep the opportunity Open.

No Show: Return the opportunity to Qualified, apply the no-show status, remove the booked status, notify the owner, and preserve human follow-up.

No matching status: End without an unintended CRM update.

Lead generation and AI qualification occur upstream; they do not run inside this appointment workflow.

04 / Workflow Breakdown

How the system works.

Common appointment event

Appointment status decides the next CRM action.

The workflow receives a documented appointment status and only performs CRM changes for a matching route. Calendar booking, availability, and rescheduling remain separate GoHighLevel Calendar operations.

01 / BOOKED

A clean Appointment Booked state.

Appointment-booked event → Appointment Booked opportunity → status-appointment-booked → remove obsolete lead-status tags → notify owner.

02 / CANCELLED

Recovery path, not an automatic loss.

Cancellation → Qualified opportunity → status-appointment-cancelled → remove status-appointment-booked → notify owner. The opportunity remains Open.

03 / NO SHOW

Keep the follow-up opportunity visible.

No-show status → Qualified opportunity → status-no-show → remove status-appointment-booked → notify owner. The opportunity remains Open.

04 / NO MATCHING STATUS

No unintended CRM update.

If no documented appointment-status condition matches, the workflow ends without changing the CRM record.

Opportunity Pipeline & Contact Status

Pipeline stages and appointment-status tags have separate jobs.

The pipeline records the sales stage while tags provide appointment-state context. Cancelled and no-show appointments move back to Qualified and stay Open so the sales team can choose the next follow-up.

Discovery Call Calendar

Miko Automation — Discovery Call

A 30-minute booking experience with GoHighLevel Calendar, Google Calendar synchronization, Google Meet, availability settings, buffers, and customer-facing scheduling notifications.

Discovery Call Booking Form

Capture the context needed before a meeting happens.

The booking form collects contact details, company name, service interest, budget, preferred contact method, additional comments, and consent before scheduling is completed.

Calendar & CRM Responsibilities

Rescheduling belongs to Calendar; CRM synchronization belongs to the workflow.

Calendar operations

GoHighLevel Calendar manages customer-facing booking, availability, rescheduling, cancellation, reminders, notification timing, Google Calendar synchronization, and meeting logistics. Rescheduling updates the active appointment and its connected calendar event.

CRM workflow operations

The appointment workflow manages opportunity-stage synchronization, appointment-status tags, previous lead-status cleanup, and internal owner alerts for booked, cancelled, and no-show events.

Role in the Full System

The final appointment-management layer after lead generation and outreach.

Upstream systems discover, enrich, qualify, and begin outreach. This workflow handles the appointment-related CRM actions once a discovery-call event occurs, while Calendar remains responsible for the customer scheduling experience.

06 / System Outcome

Every discovery-call outcome is actionable inside the CRM.

The system keeps appointment status, pipeline placement, tags, Google Calendar coordination, customer scheduling messages, and owner awareness aligned. Booked calls are ready for the meeting; cancellations and no-shows move backward into a recoverable Qualified state instead of being silently treated as lost.
