An AI-powered client onboarding workflow that automatically captures client information, analyzes project requirements, prevents duplicate CRM records, creates organized client folders, generates onboarding documents, and sends personalized client and internal team notifications.
01 / Project Overview
From client submission to organized onboarding.
This tested demonstration connects intake, AI analysis, CRM records, documents, and communication. A shared client lookup routes new submissions into either a new-client onboarding path or an existing-client update path.
02 / Business Challenge
Manual handoffs create inconsistent records.
Manual client onboarding requires repetitive data entry, individual document creation, client follow-ups, and coordination between multiple platforms.
This creates opportunities for duplicate client records, inconsistent onboarding information, and unnecessary administrative work.
Solution
One intake, two purposeful routes.
Developed a Zapier automation connecting Zapier Forms, AI by Zapier, Airtable, Google Drive, Google Docs, Gmail, and Slack.
The workflow automatically processes new client submissions while identifying existing clients and routing them through a separate update process.
03 / Workflow Architecture
A shared intake with two conditional paths.
All 14 configured steps, including the shared intake and duplicate check before two alternative paths.
CRM integration
CRM integration
Client information and AI summaries are organized in the Airtable client database.
Document management
Document management
Company-specific folders organize client files. The workflow also includes a Google Docs onboarding-document generation step.
Client communication
Client communication
The welcome email acknowledges the submission and explains the review and next-step process.
Internal notifications
Internal notifications
The new-client notification brings the submission, AI analysis, folder link, and next steps into Slack. A separate branch handles existing-client updates.
Architecture Details
Check first, then create or update.
Zapier Forms starts the workflow. Airtable checks for an existing client, and Paths by Zapier selects the matching branch. New clients receive AI requirement analysis, a CRM record, a client folder, an onboarding document, a welcome email, and an internal notification. Existing clients follow a separate record-update and Slack-notification path.
The branches are alternatives, not 14 sequential actions in every run. The screenshot does not expose the exact duplicate-matching fields or path conditions.
