Lead Lifecycle & Client Engagement Automation

A status-driven client lifecycle automation that uses Asana updates to route leads and clients through follow-up, onboarding, quote follow-up, and post-sale engagement workflows.

01 / Project Overview

Lifecycle actions, selected from one task update.

The workflow uses Asana status changes as the control layer. A task update enters Zapier Paths, where the matching documented status selects the appropriate lead setup, follow-up, quote, onboarding, or post-sale action.

Trigger

A documented Asana task update.

Routing

Five status-dependent Zapier Paths.

Output

The matching documented lifecycle action.

The Challenge

Different lifecycle statuses can require different manual operations.

Teams may need to create folders, send follow-ups, check for replies, send welcome material, and trigger post-sale communication manually as a lead or client progresses.

The Solution

One status-controlled workflow with distinct routes.

The workflow uses Asana status changes as the control layer. Zapier Paths routes each documented status into the correct business process, preserving separate operations for lead setup, follow-up, quote follow-up, onboarding, and post-sale engagement.

03 / Workflow Architecture

One lifecycle trigger. Five coordinated paths.

The Zapier workflow monitors documented Asana task updates and routes each matching status through a dedicated process for lead setup, follow-up, quoting, onboarding, or post-sale engagement.

Zapier Workflow

The original diagram preserves the shared trigger, split into paths, and all five lifecycle branches.

Architecture Details

Status evaluation selects one lifecycle route.

Trigger: Asana Updated Task begins the documented automation.

Routing: Zapier Paths evaluates the matching lifecycle status and selects one of five alternative routes.

Follow-up routes: No Response and Quoted include Gmail sends, Delay by Zapier, Gmail checks, and Filter by Zapier before a second visible send.

Client routes: Approved generates welcome communication, retrieves an existing PDF, and sends it; Paid and Closed generates and sends a personalized recommendation.

Stack / Tools

Six documented responsibilities across lifecycle routing.

Orchestration

Zapier

Coordinates the Updated Task trigger and five conditional lifecycle paths.

Task control

Asana

Supplies the task update and creates the documented related task in the Ready to Start route.

Files

Google Drive

Creates a lead folder and retrieves the existing PDF used in client onboarding.

Communication

Gmail

Sends the documented follow-up, quote follow-up, welcome, and recommendation emails.

AI generation

AI by Zapier

Generates the documented personalized welcome and recommendation communication.

Routing

Paths · Delay · Filter

Splits status-dependent routes, schedules documented waits, and performs the visible follow-up eligibility checks.

04 / Workflow Breakdown

How the system works.

Shared entry

Asana — Updated Task

The workflow evaluates the documented task status and sends the execution into the matching Zapier Path. The five paths are alternative lifecycle routes, not sequential steps in one execution.

05 / System Capabilities

Built for documented lifecycle coordination.

01

Lifecycle and status automation

Responds to the documented Asana task-status update.

02

Multi-path routing

Uses five alternative Zapier Paths for lifecycle-specific actions.

03

Automated follow-up sequences

Contains the documented no-response and quote follow-up email sequences.

04

Delayed actions

Uses Delay by Zapier in the no-response and quoted routes.

05

Response checks

Uses Gmail Find Email after each documented delay.

06

Filtering

Uses Filter by Zapier before the second documented follow-up sends.

07

Onboarding automation

Prepares and delivers the documented welcome path after approval.

08

AI-generated communication

Uses AI by Zapier for personalized welcome and recommendation communication.

09

File retrieval

Retrieves the existing Google Drive PDF in the Approved path.

10

Post-sale engagement

Prepares and sends the documented recommendation email after Paid and Closed.

06 / System Outcome

Status-dependent operations, coordinated through one trigger.

The documented scenario connects Asana task updates with the appropriate lifecycle action: lead-folder and task creation, follow-up coordination, quote follow-up, client onboarding, or post-sale recommendation communication. Each execution follows its matching Zapier Path rather than a single linear sequence.
